Privacy Policy

What we collect, why, who we share it with, and how you stay in control of your data.

SolFitness is a personal training and online coaching business run by Coach Sol (Solomon Christian) in Halifax, Nova Scotia, Canada ("SolFitness", "we", "us"). This policy explains how we handle personal information when you use solfitnesscoaching.com, the SolFitness app, or train with us in person. We follow the principles of Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

Information we collect

  • Account details: your name, email address and password (stored only as a secure, one-way hash).
  • Assessment and profile: date of birth, sex (used only for calorie estimates), height, weight, goals, training experience, schedule, equipment, occupation and activity level.
  • Health and readiness information: your answers to the readiness questions (for example heart conditions, joint problems, pregnancy or medications), injuries you tell us about, sleep, stress and resting heart rate. This is sensitive information and we treat it with extra care.
  • Progress data: workouts, sets, reps and weights, personal records, body measurements, daily and weekly check-ins, habits and the meal plans you follow.
  • Nutrition preferences: diet type, allergies and foods you dislike.
  • Messages: anything you send Coach Sol through the app, and session bookings.
  • Payment records: what you bought, the amount, date and status. Card details are entered directly with Square, our payment processor. SolFitness never sees or stores your full card number.
  • Enquiries: details you submit through the free assessment or consultation forms on the website.
  • Technical information: a login session cookie and basic server logs (such as IP address and browser type) used to keep the service secure and working.
  • Website visit counts: which pages of the website are visited, whether on a phone or computer, and where the visit came from (for example Instagram, a Google search or a link we shared). This is counted anonymously: no cookies, and no IP address or other personal information is stored. When you send an enquiry or create an account, we note where you first came from so we know which of our channels work.

How we use it

  • To build and adjust your training program, nutrition targets and meal plans.
  • To keep you safe, for example by flagging when medical clearance is recommended and avoiding exercises that conflict with injuries you report.
  • To track your progress and give you coaching feedback.
  • To run your membership, take payments and send receipts and account notices.
  • To reply to your messages, enquiries and booking requests.
  • To send occasional tips and offers, only if you opted in. You can unsubscribe at any time from your Profile or from any email.
  • To protect the service, prevent fraud and meet our legal obligations.

We do not sell your personal information, and we do not use your health information for advertising.

Consent

We collect and use your information with your consent, which you give when you create an account and complete your assessment. You can withdraw consent at any time, subject to legal or contractual limits, but we may then be unable to coach you. Health and readiness information is only collected with your express consent.

Who we share it with

Only with service providers who help us run SolFitness, and only what they need to do their job:

  • Square processes payments and subscriptions.
  • Our hosting and database providers store the app and its data.
  • Email providers deliver account and coaching emails.

These providers may store or process information outside Canada, including in the United States, where it may be accessible to local authorities under their laws. We may also disclose information if required by law, or to protect someone's safety in an emergency.

How long we keep it

We keep your information while your account is open. If you delete your account, we delete your profile, health, progress, nutrition and message data. We keep payment and tax records for as long as Canadian tax law requires (generally six years), and may keep a minimal record if needed to resolve a dispute.

How we protect it

Data travels over encrypted connections (HTTPS), passwords are hashed, access to client data is limited to Coach Sol, and payment details stay with Square. No system is perfectly secure, so please use a strong, unique password and tell us right away if you think your account has been compromised.

Your rights

  • Access and download: use "Download my data" in your Profile, or ask us for a copy.
  • Correct: update your details in the app or ask us to fix anything inaccurate.
  • Delete: use "Delete account" in your Profile, or email us.
  • Withdraw consent or unsubscribe: change your email preferences in your Profile, or email us.

To exercise any of these rights or ask a privacy question, contact solfitnesspfc@gmail.com. We aim to respond within 30 days. If you are not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada.

Age

SolFitness is for people aged 16 and over. Clients aged 16 or 17 need a parent or guardian's permission.

Changes

We may update this policy. If we make a significant change, we will let you know by email or in the app before it takes effect.

Effective October 17, 2026

Terms of Service

The agreement between you and SolFitness when you use the site, the app or our coaching.

By creating an account, buying a membership or session pack, or training with SolFitness, you agree to these Terms, the Waiver & Release, the Informed Consent and the Privacy Policy. If you do not agree, please do not use SolFitness.

Eligibility and your account

  • You must be at least 16 years old. If you are 16 or 17, a parent or guardian must agree to these Terms and the Waiver on your behalf.
  • Give accurate information, especially in your health and readiness assessment, and keep it up to date.
  • Keep your password private. You are responsible for activity on your account.

Our services

SolFitness provides personal training, online coaching, training programs, general nutrition guidance, progress tracking and messaging with your coach. Programs and nutrition targets are generated from the information you give us and reviewed by Coach Sol. Results depend on many factors, including your consistency, sleep, nutrition and health, so we cannot guarantee any specific outcome.

Memberships and billing

  • Memberships are billed monthly in Canadian dollars, in advance, through Square. Your membership renews automatically each month until you cancel.
  • Memberships are paid by credit or debit card. Session packs can also be paid with Apple Pay or Google Pay where available.
  • Sol Elite and Sol Hybrid each include one 1-on-1 strategy call per calendar month. Sol Hybrid also includes 4 in-person sessions per calendar month. Unused calls and sessions do not carry over to the next month.
  • If you switch plans, your previous plan stops billing and the new plan's price applies from the switch.
  • If a payment fails, we will let you know and your membership may be marked past due. If the payment is not completed, access to coaching features may be paused until it is.
  • We may change membership prices. We will give you at least 30 days' notice by email before a new price applies to your membership.

Cancelling

  • You can cancel any time from your Profile in the app. Your access continues until the end of the period you have already paid for, and you will not be charged again.
  • Monthly fees are non-refundable, including for partly used months, except where required by law.

In-person session packs

  • Session packs are one-time purchases of in-person training sessions in the Halifax area. Afterpay may be available for these purchases.
  • Sessions must be used within 6 months of purchase (12 months for a 10-session pack). Unused sessions expire after that.
  • Please cancel or reschedule at least 24 hours before your session. Late cancellations and no-shows count as a used session.
  • If you arrive late, your session will still end at the scheduled time.
  • If Coach Sol needs to cancel, your session will be rescheduled at no cost.
  • Session packs are personal to you, cannot be transferred and are non-refundable except where required by law, or if SolFitness is unable to provide the sessions.
  • Sessions may take place in a third-party gym or facility. You agree to follow that facility's rules and any membership or guest requirements it has.

Acceptable use

  • Use SolFitness for your own personal training only.
  • Do not share, copy, resell or publish SolFitness programs, recipes, videos or other content.
  • Be respectful in messages. We may suspend accounts used for harassment, abuse or anything unlawful.
  • Do not try to interfere with, reverse engineer or break the security of the app.

Content and intellectual property

All SolFitness programs, workouts, recipes, text, images, videos, logos and software belong to SolFitness or its licensors. You may use them for your personal training while your account is active. Progress photos, notes and messages you create remain yours, and you allow us to use them only to coach you.

Not medical advice

SolFitness provides fitness coaching and general nutrition guidance. It is not medical care, diagnosis, treatment or medical nutrition therapy. Talk to a doctor or other qualified health professional before starting, especially if you have a medical condition, injury, or are pregnant or postpartum. See the Informed Consent below.

Limitation of liability

To the fullest extent allowed by law, SolFitness and Coach Sol are not liable for indirect or consequential losses, and our total liability for any claim related to the services is limited to the amount you paid us in the three months before the claim arose. Nothing in these Terms limits liability that cannot be limited by law, or your rights as a consumer under Nova Scotia law.

Ending the agreement

You can stop using SolFitness and delete your account at any time. We may suspend or close an account that breaks these Terms, with a refund of any prepaid, unused period if we close it without cause.

Changes and governing law

We may update these Terms and will tell you about significant changes before they take effect. Continuing to use SolFitness after that means you accept the updated Terms. These Terms are governed by the laws of Nova Scotia and the federal laws of Canada that apply there.

Waiver & Release

Exercise carries risk. Please read this carefully: it affects your legal rights.

This waiver applies to all SolFitness services: in-person training, online coaching, programs, workouts, conditioning and any activity you do based on SolFitness guidance, whether supervised or on your own.

Assumption of risk

I understand that exercise and physical training involve risks, including but not limited to muscle strains and sprains, joint and back injuries, falls, injuries from equipment, dizziness or fainting, and, in rare cases, heart attack, stroke, serious injury or death. I understand these risks can arise even when exercises are performed correctly and supervised. I voluntarily choose to participate and accept these risks.

My responsibilities

  • I have answered the health and readiness questions honestly, and I will tell Coach Sol promptly about any change in my health, injuries, medications or pregnancy.
  • Where the readiness assessment recommends it, or if I have any doubt about my health, I will get clearance from a doctor or other qualified health professional before training or increasing intensity.
  • I will warm up, use proper form, work within my limits and use equipment safely.
  • I will stop exercising immediately and seek medical help if I feel chest pain, severe shortness of breath, dizziness, faintness or unusual pain.
  • When training on my own, at home, outdoors or in a gym, I am responsible for my own environment, equipment and supervision.

Release

To the fullest extent permitted by law, I release, waive and agree not to sue SolFitness, Coach Sol (Solomon Christian) and their representatives for any injury, illness, loss or damage arising from my participation in SolFitness services, including where caused by ordinary negligence. This release does not apply to gross negligence or intentional misconduct, or to any liability that cannot be excluded under Nova Scotia law.

Medical emergencies

If I need emergency care during a session, I authorize SolFitness to call emergency services on my behalf. I am responsible for any resulting costs.

Acceptance

I have read and understood this Waiver & Release. By ticking the agreement box during sign-up or by participating in any SolFitness service, I agree to it. If I am 16 or 17, my parent or guardian agrees to it on my behalf. In-person clients may also be asked to sign a paper copy.

Cookie Policy

We keep cookies to the minimum needed to run the app.

  • Login session cookie: keeps you signed in. It is essential and the app cannot work without it.
  • Browser storage: remembers small preferences on your device, such as light or dark mode, lets you resume a workout in progress if you lose connection, and remembers where you came from to the site (for example a link on Instagram) for up to 90 days. This stays on your device and is only sent to us with an enquiry or new account.
  • Payments: when you check out, you are taken to Square's secure page, which uses its own cookies under Square's privacy policy.
  • Videos: some exercise demos may be embedded from YouTube or Vimeo, which may set their own cookies when you play them. We use YouTube's privacy-enhanced mode where available.

We do not use advertising or tracking cookies. You can clear cookies and site data in your browser settings at any time, though you will be signed out.
